1. Scope
This policy applies to CheckInd websites, guest check-in flows, property administration panels, onboarding flows, support communications, and related hospitality software services.
The platform is designed for hotels, villas, homestays, serviced apartments, and other hospitality operators. In many workflows, the property decides what guest information is collected for check-in and compliance, and CheckInd processes that information to provide the service, improve reliability, and maintain security.
2. Personal data we collect
- Guest identity and stay details such as name, mobile number, nationality, room, check-in and check-out details.
- Identity document data, including images and extracted fields from Aadhaar, driving licence, passport, visa, or other check-in documents.
- Property and user account data such as admin names, email addresses, permissions, billing contacts, and subscription records.
- Technical and security data such as IP addresses, device information, timestamps, audit logs, and service usage records.
- Support and communication records when you contact us for product help, compliance questions, or grievances.
3. Why we process personal data
- To complete guest check-in and pre-fill details from uploaded identity documents.
- To help properties maintain legally required registration and compliance workflows.
- To run reporting, room allocation, billing, subscription management, and customer support.
- To detect fraud, abuse, duplicate submissions, unauthorized access, and other security incidents.
- To maintain backups, logs, and system integrity and to investigate product or compliance issues.
- To comply with applicable law, lawful requests, or directions from competent authorities.
4. How data is collected
Personal data may be collected directly from the user, the guest, or the property staff member entering information into the platform.
It may also be collected from uploaded document images, OCR or MRZ extraction outputs, browser or device interactions, cookies or local storage used to keep the service running, and support or billing interactions.
5. Sharing and disclosure
We do not sell guest or property personal data. We may share information only as needed to operate the service, including with hosting providers, storage providers, messaging and email tools, analytics or monitoring providers, payment processors, OCR or AI processing tools, and professional advisers who support the business under appropriate obligations.
We may also disclose information when required for legal compliance, fraud prevention, investigation, safety, incident response, or to protect the rights of CheckInd, its customers, guests, or the public.
6. Retention and deletion
We retain personal data only for as long as necessary for the specified purpose, operational continuity, security, contractual obligations, customer instructions, or compliance with applicable law.
Some guest registration data may need to be kept longer because the property is required to retain it for statutory or audit reasons. When retention is no longer necessary, the data is deleted, anonymized, or isolated in backups until those backups naturally expire.
7. Security measures
CheckInd uses technical and organizational safeguards designed to protect confidentiality, integrity, and availability. These measures may include access controls, authentication, scoped document access, environment separation, secure backups, logging, monitoring, and incident response procedures.
No platform can promise absolute security in every situation. If you believe your data or account has been compromised, contact us immediately at info@checkind.in.
8. Rights and choices
Subject to applicable law, a person may request access to, correction of, completion of, updating of, or erasure of personal data, and may also raise a grievance regarding how the data has been processed.
To help us verify and respond to a request, include the property name, booking or check-in reference, approximate date, and the type of document or account involved.
9. Children and dependent guests
CheckInd is not a consumer social platform for children. Where a property uses CheckInd to register a child or dependent guest as part of a lawful booking or stay, the property should ensure it has a valid basis to provide that information and that the details are accurate and limited to what is required.
